Intelligent meeting recap in Teams Premium, now available

Summary:

Earlier this year we brought Teams Premium to market – a new offering that makes meetings more intelligent, personalized, and protected. Today we’re excited to announce the general availability of intelligent recap to our Teams Premium customers, which has shipped in May with several features continuing to roll out over the next few months. Intelligent recap is currently available in English, with additional languages coming in fall 2023.

Collaboration is critical for organizations to achieve their goals – and for many of us, at the very heart of what we do. But the exponential growth of meetings and information in recent years can make it hard. Since February 2020, people are in 3x more Teams meetings and calls per week¹.

Meeting overload, fragmented conversations, and the added coordination burden from hybrid work all make getting – and staying – on the same page as a team challenging. 55% of people report that next-steps at the end of a meeting are unclear, and 56% report that it’s hard to summarize what happens in a meeting¹.

Intelligent recap leverages AI to automatically provide a comprehensive overview of your meeting, helping users save time catching up and coordinating next steps. Found on the new ‘Recap’ tab in Teams calendar and chat, users will see AI-powered insights like automatic generated meeting notes, recommended tasks, and personalized highlights to help users quickly find the most important information, even if you miss the meeting.

With intelligent recap, you can focus on the meeting discussion itself and not on capturing notes. AI-generated notes allow users to see key points and takeaways after the meeting, automatically created and powered by GPT. And follow-up is easy with AI-generated tasks and action items automatically suggested for you. AI-generated notes and AI-generated tasks will not be available for EU based tenants during the initial release in May, they will be available to EU tenants in mid-August 2023.

Meeting recordings are an incredible tool to catch up on discussions you missed, but setting aside the time to watch them in their entirety is more than a small challenge. Now users can navigate efficiently to the parts of the recording most relevant to them through personalized timeline markers—only visible to the individual user—which show when their name was mentioned, when a screen was shared, and when they joined and left the meeting.

Speaker timeline markers show who spoke during the meeting, when they spoke, and allows users to jump to that moment. Speaker timeline markers are intelligently organized by who the user works most closely with.

Coming soon, intelligent recap in Teams will automatically generate meeting chapters that divide the meeting into sections so it’s easy to select and jump to the most relevant section, as well as meeting topics that allow users to jump to a point in the meeting when a certain topic was discussed.

Intelligent recap is built keeping privacy and compliance in mind

Intelligent recap is created by Microsoft based on the meeting data, and specifically the meeting transcript, meeting recording, attendance report, and the names of the invitees. There is no change to Microsoft’s principles for commitments to data security and privacy in the enterprise. Intelligent recap automatically inherits your organization’s security, compliance, and privacy policies for Microsoft Teams. Data is managed in-line with our current commitments, while the existing compliance boundaries, privacy protections, and more make intelligent recap the AI solution you can trust. You can review Microsoft’s privacy policy and service documentation for more information: Microsoft Teams Privacy and Microsoft Compliance.

The data is not exposed to 3rd parties, and even in the case of the GPT-based models, Microsoft runs the models internally. This is true for all intelligent recap features.

Evolving the meeting recap experience

In addition to intelligent recap in Teams Premium, we are also evolving the meeting recap experience for all Teams users. Microsoft Teams helps users catch up on meeting contents from the ‘Details’ tab of a meeting, which provides links to the meeting transcript, recording, and any manual notes that were taken. Now, we’re taking it further with the new and improved meeting recap experience, available for all Teams users.

The new meeting recap will also be available on the ‘Recap’ tab and will enable users to watch the meeting recording directly within Teams, as well as provide co-created collaborative meeting notes, meeting transcript, and content shared. Without a Teams Premium license, this meeting recap experience will not include any of the AI-powered insights that are part of intelligent recap.
